Why the Receptionist Is Part of the Interview, Too

Hello. It is a pleasure to meet you. I’m glad we were able to find a convenient interview time so quickly.

Let me explain how this process works. You were waiting in the reception area for around five minutes. You arrived a little early and scored a few points for that. (You’d be surprised at how many job applicants in Kenya show up late for interviews and how many don’t appear at all, so I appreciate your beating the clock.)

During that five-minute period, you were being observed by my receptionist. That might not seem to have
been an important stage in the selection process, but believe me, it can be.

Why? Because after we’ve completed this formal interview and you’ve departed, I’ll ask the receptionist and perhaps the askari as well for their opinions. If they note that you seemed a little nervous, that’s fine. If they say that you were quiet and polite, that’s great. But if they report that you were rude, condescending, or unprofessional in any way, that’s a problem. A very big problem.

And you can bet that it will sit in the back of my mind when I review your answers to my structured interview questions.

I’m not expecting you to charm the staff. (Be a tad too familiar and that also sets off alarm bells.) I do, however, expect courteous, friendly, and respectful behavior. Most of us don’t care for people who kiss up and kick down. That’s why the way you treat my staff may be more important than your ability to write a great strategic plan or those marketing plans.

And by the way, no one ever lost points for saying, “Thank you,” to the receptionist on the way out.


Moral of the story. Be ‘nice’ to those who may not ‘matter’ at that moment.

I Choose Life-Africa (ICL) is an NGO which carries out HIV and AIDS prevention, care and support intervention among students in institutions of Higher learning.

ICL is in the process of recruiting for an Urgent Finance Officer who will be reporting to the Finance
Manager. The incumbent will be responsible for the implementation of financial systems and processes that enable us to achieve our organizational objectives.

The Finance Officer will ensure that we have stringent financial and reporting procedures that are reliably followed – and in so doing safeguard resources and minimize risk, enhance accountability, and most importantly facilitate the effective delivery of our objectives. The specific tasks of the officer include the following:

Designing and Implementing Financial Policies

Assist the Finance manager in designing and formulating Finance and Procurement policies, and overseeing the enactment of the procedures and systems so as to promote common policies and practices.

Take responsibility for the finances of a project assigned and delivery of the Organizational Strategic plan.

In conjunction with the Management, draft, monitor and assess the business and development plan

Maintain day-to-day financial control of the service within budget heads agreed by the donors and development partners.

Ensure that all finances are properly administered and monitored, including credit control.

Support the project accountants in the provision of information for the estimates.

Advise on the proper allocation of resources.

Ensure that appropriate financial regulations and controls are in place and in use at all times.

Prepare budgets for the project/ program approval by the management and development partners.

Make regular reports to the management, donors and development partners on income, expenditure and any variations from budgets.

Ensure that all financial reporting obligations are met in relation to submissions for funding, for grant aid, for contracts and any other initiatives.
Develop the organization's funding base to secure present and future service delivery.

Maintain appropriate relations with Donors and development partners and make reports as necessary, ensuring compliance with any contracts.

Identify opportunities for funding by the development partners and submit bids and applications accordingly.

A Bachelors Degree in Finance or related qualification

CPA part III

At least 3 years experience in Financial management

Good knowledge of working with donor funded projects

Good working knowledge of the current Kenya tax Law and practices;

Experience in developing and implementing finance policies, procedures and projects;

Excellent interpersonal, communications, coaching and organizational skills, with a track record of driving change and innovation.

Strong problem solving skills with strong business skills and strategic acumen, organizational diagnostic skills, analytical skills and excellent team-building skills.

Strong and diplomatic negotiation skills

Flexible attitude to changing priorities

  • Review and validate test cases for accuracy and conformity to requirements;
  • Manage and grow staff within the section.
Minimum requirements
  • Bachelor degree in Computer science or Engineering or Business related field;
  • 5 years experience as a systems developer/business analyst in a busy IT development environment, 2 years of which must include experience in systems analysis;
  • Expertise in enterprise architecture;
  • Logical and physical data modeling, relational databases experience;
  • Experience in writing formal use cases and other UML tools;
  • Project Management training and experience.
